Booking Policy

THE ‘PROPERTY’
The ‘property’ referred to in these terms and conditions is for Church Cottage, West Rounton, North Yorkshire, DL62LL.

THE ‘HOLIDAY PARTY’
The ‘holiday party’ referred to in these terms and conditions are for all named persons on the booking.

THE ‘OWNER’
The ‘owner’ referred to in these terms and conditions of contract is for Mark Taylor Church House, West Rounton, North Yorkshire, DL62LL.

NUMBER OF PERSONS
The maximum number of persons including children allowed to stay at Church Cottage is 3 and should not be exceeded without the owner’s permission. Only the persons named on the booking are permitted to stay at the property. The person making the booking must be aged 21 years or older. The owner must be informed of any changes to the persons named on the booking form.

BOOKING PROCEDURE
Please check the availability calendar on the website and complete booking form, or alternatively you can contact the owner by telephone. All email enquiries will be answered within 24 hours of sending. Once you have received notification that your selected dates are available, the booking is not confirmed until the owner has received a booking, together with a 50% deposit to secure the booking. This payment is fully refundable if for any reason the owner cannot confirm the booking. Once the owner has confirmed your booking you are responsible for the whole of the rental amount payable to the owners no later than 7 weeks prior to the date of the start of the rental period.
If a booking is made less than 3 weeks before the start date full payment will be due.

PROOF OF IDENTITY
Upon making the booking proof of identity is required  from the lead person making the booking. This may be a driving licence, or passport photo.

PRICES
Prices are for self-catering accommodation only. Prices include utilities, bed linen, towels, toiletries, essential kitchen ingredients, 1 bucket of multifuel and kindling and complimentary locally sourced treats.
Payment may be made by credit, Debit card, Paypal or cash transfer.

DAMAGES
All damages caused any member of the holiday party must be reported to the owner at the earliest opportunity. If any loss, damage or extra cleaning is caused then the holiday party will be responsible to pay these costs and will be requested to do so in writing by the owner.

OCCUPATION AND DEPARTURE
Unless otherwise agreed with the owner, the normal time of occupation is after 3pm on the first day of rental. Departure must be by 11am on the last day of rental to allow time for changeover inspection and cleaning. Should the housekeeping team have to wait to enter the property, this time will be chargeable according to their hourly rate.

PROVISION OF KEYS
The owner will communicate to the holiday party outlining the procedure for obtaining and returning keys for the property once the rental balance and security deposit has been received in full.

CANCELLATIONS
Cancellations must be notified in writing (including by email) to the owner immediately.
Once the holiday is booked the guest has entered into a legally binding contract. If forced to cancel, for whatever reason, the following conditions will apply:
More than 42 days (6 weeks) Loss of deposit Less than 42 days (6 weeks) Loss of deposit and final balance
However, the owner will endeavor to re-let the house on the same hire terms and if a replacement is found at the same rental rate, we will refund all monies in full, less an administration charge of £25. If a replacement is found at a lesser rate, we will refund all monies paid by you, less any difference between the total price for your rental and the price to be paid by the replacement guest, less an administration charge of £25.
If the final balance is not received by the due date (7 days before arrival), we reserve the right to cancel the booking and the deposit will be forfeited.
It is highly recommended that the holiday party take out travel insurance to cover any such incidences that includes comprehensive cancellation cover.
Where the owner cancels this agreement for any reason and at any time, the holiday party shall be entitled to a full refund of the deposit and any remaining balance paid. The owner shall not be liable for any consequential loss or incidental expenditure that the holiday party may suffer as a result of cancellation.

THE HOLIDAY PARTY’S RESPONSIBILITIES
The owner does not accept any liability for theft, loss or damage to personal belongings, baggage, vehicles or any other item belonging to any member of the holiday party, except in so far as the loss or damage arises from a substantial defect or damage known to the owner or which should have been known to the owner. Save as aforesaid and without prejudice thereto we shall not be liable for consequential or other damages howsoever arising, liability for death or personal injury caused by our negligence not excluded.
Please ensure that all exterior doors are locked and windows are closed when away from the property
The holiday party must not store any dangerous or hazardous material or substance, or any item of a flammable or explosive nature which might unreasonably increase the risk of fire or explosion on or around the property and which would be considered hazardous by a responsible insurance company. The holiday party must keep the property and garden in the same state of repair, cleanliness and condition in which it was found at the start of the rental period.
In cold weather, the holiday party will take reasonable steps to ensure that pipes do not freeze.
The holiday party will be responsible for keeping drains, waste pipes, bath, sinks and toilet free from blockages and shall take care not to dispose of any immiscible or damaging substances such as oil and grease via the drains or waste pipes.
It is highly recommended that the holiday party take out travel insurance which includes loss or theft of personal possession's and accidental damage to cover any incidences.
Children should not be left unsupervised in the property or its garden at any time.
The holiday party will not use the property in any way that may impinge upon the property rights of neighbours or create unacceptable noise level disturbances or misconduct either within the property or its grounds.
The holiday party must not sub-let the property.

HOUSE RULES

We kindly ask you to read our house rules carefully and keep them in mind during your stay.

1. No parties or events allowed.

2. No smoking or vaping allowed inside the cottage.

3. No pets allowed.

4. Toddlers and children under 12. Must be supervised

5. No unregistered guests allowed.

6. Please don’t eat or drink in the bedrooms.

7. Please respect the noise curfew. 23:00 – 09:00

8. Please turn off lights when you go out.

9. Please respect check-in and check-out times.

10. Please take extra care of your keys. Lost keys incur a replacement fee of £50.

11. Please take care of the furnishings.

12. Please don’t rearrange the furniture.

13. Please let us know of any damage or breakages so that we are able to rectify before the next set of guests arrive.

14. Please leave the house as you find it.

SMOKING, VAPING AND THE USE OF ILLEGAL OR ILLICIT SUBSTANCES IS STRICTLY NOT PERMITTED AT THE PROPERTY.


THE OWNER’S RESPONSIBILITIES
The owner shall take out appropriate and adequate building insurance to protect the property against flood, fire, subsidence, storms, malicious damage and all other forms of damage.
The owner shall take out appropriate insurance to cover any fixtures, fittings or appliances that are let with the property. The owner has a service contract for the boiler, which ensures that the boiler is kept in good condition by being serviced annually and provides an emergency call-out service, should the boiler fail to function. The owner cannot accept responsibility for any unforeseen boiler breakdowns but will endeavour to have the boiler repaired without any undue delay to the holiday party.
Should any appliances fail during the rental period, the owner will endeavor to have them repaired or replaced without undue delay to the holiday party.
The owner, or others, shall not unreasonably interrupt the holiday party’s use and enjoyment of the property by making excessive and unwarranted demands for access.
The owner is not responsible for any noise disturbance or misconduct arising from neighbouring properties.
The owner does not accept any liability for compensation due to Acts of God or adverse weather conditions or for the failure of any public services.

PETS
Well-trained Pets (Cats or Dogs) when permitted to stay at the property and should be fully up-to-date with any flea and worming preventative treatments. There will be a charge of £15 to allow for extra cleaning at the end of the rental period. Pets must not be allowed in the bedrooms or left unsupervised, either within the property or its garden, unless the holiday party is confident that their Pets will not damage/soil any of the contents. Please ensure the holiday party cleans up after dogs either within the property or its garden. Other pets are not permitted at the property.

RIGHT OF ENTRY
The owner or any specific tradesman or other persons shall be allowed the right of entry to the property at all reasonable times to carry out any necessary repairs or maintenance, to ensure the property and all appliances are safe, or responding to emergencies which pose a risk of damage to the property.
These Terms & Conditions shall be governed by the Law of England and Wales.
